OVERVIEW
Avanan Email Security is a cloud-based email security system that helps protect your inbox from phishing, spam, malicious links, and dangerous attachments. It works alongside Microsoft 365 or Google Workspace to identify suspicious messages and reduce the risk of account compromise.
You may notice new security behaviors such as quarantine notifications, a quarantine portal, “smart” banners on messages, or links that appear rewritten for safe click-time checking.
PURPOSE
- Explain what Avanan Email Security is in plain language
- Set expectations for what you may see in your inbox
- Point you to the correct next guide depending on what you’re trying to do
WHO THIS IS FOR
- All end users who send and receive email using company email
- Users who need to find or restore quarantined email
- Users who see warning banners, rewritten links, or security prompts
WHAT TO DO
If you are missing an email
- Check your quarantine digest email (typically delivered around 4pm every day - if enabled)
- Use the quarantine portal to search and request a restore (if available)
- If you cannot find the message, contact support and include the sender, subject, and expected time
If you receive a quarantine digest (Daily Quarantine Report)
- The digest summarizes quarantined messages and may include action buttons such as “Release” or “Request Restore” depending on policy
- If you are prompted to verify your identity while requesting a restore, follow the on-screen instructions
- The daily quarantine email is typically sent at 4:00 PM daily (if new emails are quarantined)
If you see a warning banner or smart banner
- Read the banner. It is intended to help you spot suspicious email patterns (new sender, payment changes, invoices, spoofing, etc.)
- Do not act on urgent payment/change requests without verifying through a trusted method (call a known number or use an existing trusted thread)
If links look “rewritten”
- Avanan can rewrite links so they can be checked at click time (this helps block “safe at delivery, malicious later” links)
- If you click a malicious link, you may see a warning page instead of the destination
WHEN TO CONTACT SUPPORT
Contact support if:
- You believe a legitimate email was quarantined and you cannot restore it
- You see repeated quarantine behavior for the same sender
- You clicked a link and received a warning page and need help validating the request
- You suspect your account may have been compromised
When contacting support, include:
- Sender email address
- Recipient (you)
- Email subject
- Approximate date/time expected
- Any screenshots (banner, portal message, warning page)
IMPORTANT GUIDELINES
- If you are unsure whether a message is safe, do not reply, open attachments, or click links until verified.
- Quarantined messages may require approval depending on policy.
- If you receive a verification code for secure email access, do not share it with anyone.
